151st Kentucky Derby
The Challenge
The Kentucky Derby is one of the most iconic sporting events in the world, with Churchill Downs hosting more than 150,000 attendees across various experiences, from VIP access to general admission. For the 151st running in May 2025, TMS was tasked with managing logistics for a complex web of shuttle operations, delivery coordination, VIP access, and mobility support, while working within the constraints of limited space, evolving plans, and strict timelines. A major challenge emerged just weeks before the event when one-third of a key parking lot was unexpectedly lost, requiring immediate re-planning and mitigation.
The Process
To execute the Derby transportation plan, TMS:
- Streamlined Deliveries
Coordinated over 1,000 deliveries in a single week by implementing an advanced communication and confirmation system that allowed staff to track and monitor delivery windows in real time.
- Efficient Shuttle Operations
Supported shuttle movements for more than 18,000 staff and 50,000 guests with strategic vehicle routing, real-time supervision, and pre-event staff training.
- Secured VIP Parking
Controlled access to multiple VIP Parking Areas, managing check-in logistics and ensuring each area was secure, credentialed, and functioning without delays.
- Adapted to Parking Disruption
Responded to a major parking disruption by redesigning traffic flow, introducing new crosswalk staffing, and completely overhauling the boarding strategy in under a month.
- Enhanced Mobility Access
Deployed golf carts for mobility assistance, ensuring guests with accessibility needs had quick and comfortable transport throughout the venue.
The Results
Optimized Parking & Traffic Flow
The revised parking and traffic flow strategy prevented congestion and maintained VIP expectations despite reduced space.
Improved Delivery Efficiency
The delivery coordination system dramatically improved efficiency, minimized bottlenecks, and ensured critical event materials arrived on schedule.
Seamless Shuttle Services
Guests experienced minimal delays across all shuttle services, and mobility assistance was widely available throughout the property.
