Arnold Palmer Invitational
The Challenge
The Arnold Palmer Invitational, hosted annually by the Arnold & Winnie Palmer Foundation, draws thousands of spectators, staff, and volunteers to Bay Hill Club & Lodge each year. For the past several years, TMS has been tasked with providing end-to-end transportation logistics, including shuttle services for the general public, volunteers, and hospitality guests, as well as comprehensive parking and rideshare lot management. With high daily attendance and multiple user groups to serve, the challenge was to maintain efficient, timely movement across multiple access points while minimizing congestion and maximizing rider satisfaction. The event’s dynamic attendance patterns required responsive routing, real-time communication, and careful coordination of parking operations to avoid bottlenecks and service gaps.
The Process
TMS implemented a flexible and data-informed approach to keep operations smooth throughout the tournament week:
- Shuttle Optimization
Routes and schedules were continuously adjusted based on real-time rider demand and peak times, minimizing wait times and increasing frequency as needed.

Communication
All staff were equipped with radios to ensure direct and instant coordination between loading zones, shuttle drivers, and operations managers.

Monitoring
Passenger counts, turnaround times, and lot capacity were actively tracked to inform routing decisions, staff deployment, and on-the-fly adjustments to improve flow.
- Parking & Rideshare Oversight
Managed access to the event’s largest parking site, ensuring vehicles had proper credentials and that traffic flow was orderly. Worked closely with law enforcement and volunteers to implement directional flow and signage for both parking and rideshare areas.
The Results
Shuttle Operations
Transported over 4,000 general public attendees daily. Moved approximately 1,000 volunteers and workers per day, ensuring they arrived on time and without disruption. Maintained quick loading and consistent service intervals throughout the event.
Parking Lot Management
Efficiently operated the event’s largest onsite parking lot, accommodating 1,000+ vehicles each day. Verified parking credentials at all entry points to maintain order and security. Implemented traffic management solutions that reduced congestion and maximized available space.
